Office Administrator

About the Role
We're looking for an enthusiastic and motivated Office Administrator to provide essential support to our head office and on‑site operations across Brisbane.
No two days will be the same in this role and you'll have the opportunity to collaborate closely with the entire business including our construction, maintenance, pre-construction, sales and marketing teams!
This role can be part‑time or full‑time (we love to support flexible working!) and will be based primarily at our Hemmant head office with occasional visits to our project sites.
Key Responsibilities
In this crucial role, you’ll keep our operations organised and efficient by:
Overseeing day‑to‑day office management such as meeting room bookings, office maintenance, supplier coordination, and ordering office supplies
Supporting all aspects of construction document management, including preparing agendas for executive meetings, maintaining site safety documents and compliance records, and managing company procedures
Effective system compliance, ensuring 100% compliance for Sign on Site/SWMS, managing OSC requirements across the business, and assisting with monthly asset audits
Collaborating closely with maintenance, managing the mailbox and coordinating actions/activities in a timely manner
Greeting visitors, answering and triaging calls, maintaining reception areas, and managing postal activities
About You
We're looking for someone who is enthusiastic and helpful, as this role is integral to keeping our daily operations running smoothly. To be successful in this role you'll need to be a whizz across the Microsoft 365 suite, including SharePoint, and be organised with excellent time management.
As well as the above, you'll ideally have:
Strong experience in a similar administration role
Certificate III or IV in Business Administration (highly desirable)
A reliable and proactive approach to your work, with excellent attention to detail and a high level of accuracy
The ability to prioritise, problem‑solve and meet deadlines
Exposure to programs such as Sign On Site & Gearbox/Pre-Start (highly desirable)
Experience in construction, development or blue-collar industries (highly desirable)
